What happens to your documents when you close your Docusign account

The short answer: once the account is closed, access to every envelope ends, and Docusign's obligation to keep your documents ends with it. Between cancelling and closure there is a grace window, commonly reported around 90 days but set by your contract. Separately, if Document Retention is enabled anywhere on the account, matching documents are permanently removed on a 14 day timer that cannot be changed. If you are leaving, the export has to happen inside that window, and it has to include more than the PDFs.

The timeline, in Docusign's own words

Docusign's community guidance to a customer asking about closure is direct: "Once an account has been closed, you will no longer have access to any documents."

Their service terms put a number on the obligation. A customer may request help retrieving completed documents no later than ninety days after termination, and after that period Docusign has no obligation to maintain any documents and reserves the right to delete them and the account. The practical reading: ninety days after termination is the outside edge, and your contract can set an earlier one.

There is a second, faster clock that surprises people. If your account uses Document Retention, documents matching the policy enter a purge queue and are permanently removed on a 14 day timer that, per Docusign's own guidance, "can not be modified." Check whether anyone ever enabled retention on your account before assuming you have ninety days for everything.

Why "we downloaded the PDFs" is not an archive

Most teams pull the signed PDFs and call it done. The gap surfaces later, at an audit or a dispute, and by then the account is gone. A defensible archive needs, per envelope:

  • The combined signed PDF, documents merged in signing order.
  • The certificate of completion. This is the evidence: signer identity, timestamps, IP addresses, authentication method. A signed PDF without its certificate is far weaker if the signature is ever challenged, and certificates are the artifact most DIY exports miss.
  • Recipient and envelope metadata, so you can prove chain of custody and apply your retention policy later.
  • Form field values, if your envelopes carry data, exported as CSV or JSON so the archive is searchable rather than ten thousand PDFs nobody can query.
  • A reconciliation: an envelope count from inside the account, checked against what actually landed in your export, with voided and incomplete envelopes explained. This is what lets a records manager sign off and close the account without holding their breath.

Doing it yourself

You can, and for small accounts you should. Under a few hundred envelopes: download them from the web interface, keep each certificate of completion with its PDF, run an envelope report at the end and check the count. An afternoon, no tooling.

At thousands of envelopes it becomes an engineering task, and people asking how are a fixture of Docusign's own community, going back years: bulk downloading all signed documents, accessing all historical envelopes, exporting for all users in one go. The constraints that make it slow:

  • The API budget is roughly 3,000 calls per hour, shared across every live integration on the account, and a proper export spends about two calls per envelope. That caps a full-speed run near 1,500 envelopes an hour, in theory; in practice your live integrations are using the same budget.
  • At 50,000 envelopes that is around 67 hours of continuous running that has to survive failures and resume cleanly. At 200,000 it is roughly eleven days.
  • The finish line is not the ZIP landing, it is the count reconciling: voids explained, certificates present, checksums recorded.

If you have an engineer with two or three clear weeks and a deadline that is not close, DIY is a fine answer. If the window is already running, the arithmetic above is the thing to check first.

Can I get my documents after my Docusign account is closed?

Almost certainly not. Docusign's guidance is that a closed account means no access to any documents, and after the post-termination window their obligation to keep anything ends. If you are inside a grace window right now, act this week rather than at the end of it. If the account is fully closed, neither we nor anyone else can help.

How long do I have after cancelling Docusign?

Contract-specific. The commonly reported figure is around 90 days after termination, and Docusign's terms frame ninety days as the outer limit for retrieval requests. Treat any number you read, including this one, as a prompt to confirm your own date with Docusign support in writing.

Does cancelling Docusign delete my documents immediately?

No. Cancellation starts the countdown; closure ends access. The exception is Document Retention: if a retention policy is active, matching documents purge permanently on a 14 day timer regardless of your account status.

How do I download all my Docusign documents at once?

The web interface allows downloading in batches, which is workable up to a few hundred envelopes. Beyond that the realistic options are the API (subject to the hourly ceiling above), Docusign's own paid export tooling where your plan allows it, or a service like ours. Whichever route: keep the certificates of completion, and reconcile the count at the end.

Do I really need the certificates of completion?

If any agreement might ever be disputed, audited, or produced in a proceeding, yes. The certificate carries the signing evidence: who, when, from where, authenticated how. Regulated teams treat an archive without certificates as incomplete.
